Copying orders into a spreadsheet, chasing quotes, sending the same emails: these tasks can run by themselves. Three tools lead the market. They do roughly the same job, but not for the same kind of business.
Zapier: the easiest way to start
Zapier is very easy to pick up and connects thousands of apps. Its weak spot: the price climbs quickly as the number of actions grows. Ideal for a handful of simple automations.
Make: visual and affordable
Make lays out each scenario as a diagram, which makes it easier to follow what's happening. It's often cheaper than Zapier for the same volume and handles branching scenarios well.
n8n: powerful and under your control
n8n can run on your own server: your data stays with you, and the cost no longer depends on the number of actions. It takes a little more technical know-how, but it's my most frequent pick for businesses that automate a lot, especially with artificial intelligence.
How to choose
- Two or three simple tasks: Zapier.
- Richer scenarios on a tight budget: Make.
- High volume, sensitive data, AI: n8n.
Start small
The best automation is the one that saves time in its very first week. Pick a single repetitive task, automate it, then measure the time saved. I explain my approach on the n8n automation page and the automation & AI service.
