Seminar, gala dinner, launch or trade show: photographers' quotes can vary fivefold. That's no accident. Here's what sits behind the price, and how to compare two offers that don't say the same thing.
Time on site
This is the main factor. Half a day and a full day don't cost the same, and an evening event often takes longer than you'd think: setup, guest arrivals, speeches, the party itself.
Number of photos delivered, and editing
Ask how many photos are delivered edited. Fifty polished images are worth more than five hundred raw files. Editing often takes as long as the shoot itself.
Turnaround
Want to post on LinkedIn the same evening? An express selection needs specific planning, so mention it when you ask for a quote.
Photos only, or photos and video
Adding video, even a short one, changes the crew and the kit. A one- to two-minute highlight film is often the best balance between budget and social media impact.
Questions to ask before booking
- Have you covered an event in this kind of venue before?
- How do you handle dimly lit rooms?
- How many edited photos, and how quickly?
- Can I use the photos freely, including in advertising?
In practice
Prepare a list of the moments and people you can't miss: that's what lets a photographer quote a fair price. My starting prices are on the pricing page, and the full service is described on the event photographer page.
